Job description
- Smooth management & admin duties of all sections to ensure excellent time management of the Human Resources section by:
- Co-ordinating & controlling incoming & outgoing mail; by opening, registering, scrutinising, distributing, diarising & processing all incoming & outgoing mail /faxes/correspondence in the required register detailing whom it must be sent to
- Recording all mail (adverts, circulars, memos) received in the mail book & distributing such to the responsible official/department
- Provide documents to the records clerk to deliver
- Filing copies of all incoming & outgoing letters, memo’s, faxes, reports & items for future reference to enable the relevant incumbent or sectional head to investigate or follow up on complaints / hours spent.
- Undertakes routine correspondence duties; by drafting replies and returns where necessary.
- Maintain a confidential filing system & strict confidentially on all matters concerned
- Maintain a Tracking sheet/system of all incoming & outgoing correspondence, as to ensures that all tasks delegated are done effectively & efficiently
- Secretarial duties to ensure, smooth management and functioning of Human Resources
- Plan & manage day to day activities, meetings, ensure a streamline office, perform fast & accurate typing.
- Types, facilitates all necessary comments from the respective HOD’s regarding council items for all sections for approval by HOD’s, section 80, mayoral committee & council
- Controls over the ordering of the departmental stationery, furniture & entertainment / refreshments of the executive director and issues of stationery items to all the departmental officials to ensure effective control
- Controls over reservations of HR activity/conference room from different departments, sections & individual officials to ensure an effective control of the general bookings of the conference room
- Receives and relays all incoming & outgoing telephone calls of the Director to ensure the correct people receives calls
- Compiles & distributes agendas & take minutes for weekly management meeting and gather/compile itemised discussion approved by the chairperson for the agenda & minutes
- Capture & coordinate the section Performance Management outcomes on the system & keeping of POE files
- Perform any other related Ad Hoc tasks and duties as requested or required by management from time to time
Minimum requirements
- National Diploma in Secretarial, Administrative Qualification or relevant NQF Level 6 Qualification)
- B-Degree in Secretarial or Administrative Qualification will be an added advantage
- Relevant HR Qualification (Certificate), or studying towards it will be an added advantage
- Project & Financial Management skills will be an added advantage
- Computer Literate (MSWord, Excel & PowerPoint)
- Valid driver’s license
- Excellent communication, interpersonal, telephone etiquette, customer service skills & to act with integrity & confidentiality at all times.
- Competencies associated with the post: adaptability, communication, assertiveness/leadership skills, presentation skills, conflict & stress management, negotiation skills, office management/diary management skills, strong administrative skills, writing & typing skills.
- A professional, hardworking, highly motivated & self-disciplined person with good organisational, interpersonal skills with the ability to work under pressure & meet strict deadlines, Attention to detail, office management & excellent administration skills
- Three (03) years relevant experience within a secretarial environment
